Information we collect

• Account details: your email address, and the display name, ZIP code, organization, and bio you choose to add.
• Documents you upload: the meeting packets and supporting files you submit, plus the reports generated from them.
• Activity: uploads, saved action items, group memberships, alert rules, and outreach drafts you create.
• Billing: subscription status and invoice history. Card numbers are handled by our payment processor and never reach our servers.
• Usage analytics: aggregate page views and feature events through Google Analytics.

Why we collect it

• To generate your reports and keep them tied to your account.
• To enforce plan limits and process subscriptions and refunds.
• To match you with other members working on the same civic issues, when you opt in to the member directory.
• To send the alerts and notifications you ask for.
• To understand which parts of the product are useful and fix what is broken.

Who can see your data

• Your uploads and reports are private to your account by default. They become visible to others only when you mark a report public.
• Your profile appears in the member directory only if you turn directory listing on.
• We never sell your personal information or rent it to advertisers.
• We share data only with the service providers that run the product: hosting and database, AI analysis, payment processing, email delivery, and analytics.

Public records are public

Meeting minutes, agendas, and resolutions are government records. Reports built from documents that are already public — including the automatic civic feed — may be shown publicly on the site with a link to the official source.

How long we keep it

Account data and uploads are kept while your account is open. When you delete a report or close your account, the associated files and reports are removed. See the data retention page for the specific timelines.

Your rights

• Access and correct your profile information from the account portal.
• Delete individual uploads and reports at any time.
• Request full account deletion and a copy of your data through the contact form.
• Opt out of the member directory, alerts, and the newsletter whenever you want.

Security

Data is encrypted in transit, uploads are stored in a private bucket, and database access rules restrict every row to its owner. See the security page for detail.

Children

CivicDeepDive is not intended for children under 13, and we do not knowingly collect their information.
